Every sales tool now says "AI" somewhere on its homepage, which makes the label useless for choosing.

What is useful is asking which step of prospecting a tool's AI actually does for you. There are four:

  1. Finding demand - who needs a product like yours right now
  2. Finding and researching contacts - who to reach and what to know about them
  3. Writing and sending - the email or message itself
  4. Following up - calls, notes, and not dropping the thread

This guide groups the tools by those steps, gives each one a "best for" and a "skip if", and prices them using each vendor's own pricing page as checked on October 21, 2026. Where a vendor doesn't publish a price, we say so instead of guessing.

Disclosure: Needle is our product. It covers step 1 only, and it's listed there with its limits.

All prices: vendor pricing pages, checked October 21, 2026. Annual billing is cheaper for almost every tool here; the full breakdown, with credit costs and hidden fees, is in our lead generation tool pricing guide.

Stage 1: AI for finding demand

Most AI prospecting tools start from a database: filter by title, company size and industry, then guess who might care. That tells you who could buy. It doesn't tell you who is shopping.

The other starting point is public conversations. People post on Reddit, Hacker News, Stack Overflow and GitHub asking for recommendations, complaining about a tool they're paying for, or describing a problem in their own words. A database can't see any of that.

Needle (our product)

What the AI does: Needle reads public posts that match your keywords across up to 13 communities (Reddit, Hacker News, GitHub, Stack Overflow, Bluesky, Lobsters, Mastodon and Product Hunt on every plan; YouTube, Tumblr and forums on Growth; X and LinkedIn on Scale). It drops the noise (memes, tutorials, job posts, off-topic mentions) and ranks what's left by buying intent. Each lead is tagged Hot lead, Worth engaging or Monitor. For a strong thread it can draft a reply in your brand's voice, which you edit and post yourself.

What that looks like in practice: across all Needle customers' Auto Search runs between September 15 and October 15, 2026, 83% of keyword-matching posts were dropped as noise, about 1 in 20 posts read was a strong buying signal, and 98% of leads surfaced within a day of being posted. That ratio is the whole argument for using AI here: reading 20 posts to find one buyer is the part humans give up on.

Pricing (checked October 21, 2026): Solo $15/month, Growth $49/month, Scale $149/month (annual: $120, $390 and $1,190 per year). 7-day free trial, no card.

Best for: founders and small teams who want warm conversations to open with, and teams that want a reason to contact someone before they pull their email from Apollo.

Skip if: your buyers don't talk in public (many regulated or enterprise buyers don't), or you need verified emails and phone numbers. Needle doesn't sell contact data; leads go to Slack, HubSpot, Pipedrive, Notion, Airtable, a webhook or CSV (channels depend on plan; HubSpot and Pipedrive are on Scale), and you pair it with a contact tool.

Other tools in this category, with their trade-offs, are compared in best buyer intent and social lead discovery tools.

A note on where you look. Hacker News skews toward developers, so it's the right room for dev tools and the wrong room for a small-business CRM. Intent tools help you search many communities at once, but picking the ones where your buyers actually talk is still your job.

Stage 2: AI for finding and researching contacts

Once you know what kind of company needs you (or exactly which person posted), you need the right contact and enough context to write something specific.

Apollo

What the AI does: Apollo's pricing page meters "AI research" (1 credit per run) and an AI writing allowance (5,000 words a month on Free, up to 1,000,000 on Organization), on top of its contact database and sequences.

Pricing (checked October 21, 2026): Free with 75 credits a month. Basic $65/seat monthly ($49 billed annually), Professional $99 ($79), Organization $119/seat annual-only with a 3-seat minimum.

Watch for: a phone number costs 8 credits against 1 for an email, credits don't roll over, and Basic is capped at 250 emails a day from 1 mailbox.

Best for: a small team that wants one tool to find contacts and send. Skip if: you need research depth per account; that's Clay's job.

Clay

What the AI does: Claygent research agents and "waterfall" enrichment that tries several data providers in turn until one returns a result, all inside a spreadsheet-like table.

Pricing (checked October 21, 2026): Free with 500 actions and 100 data credits a month. Launch from $185/month ($167 billed annually), Growth from $495/month ($446). Clay bills two meters, actions for platform work and data credits for marketplace data, and some token-heavy AI models are billed on variable, token-based pricing.

Watch for: CRM integrations start on Growth, so Launch has no CRM sync. Actions don't roll over; data credits roll over up to 2x your monthly amount.

Best for: teams with one person who likes building workflows. Skip if: nobody will own it; an unmaintained Clay table is an expensive spreadsheet.

How Apollo, Clay and Sales Navigator split the work is covered in detail in Apollo vs Clay vs Sales Navigator.

Amplemarket

What the AI does: the Startup plan bundles multichannel sequences, "AI Intent Signals" and the Duo Copilot; higher plans add Duo Voice and Duo Inbox.

Pricing (checked October 21, 2026): Startup is $600/month on an annual term with 2 users included. Growth and Elite are quote-only. No free plan; the page says all plans include a free trial without stating its length.

Best for: a team of two or more sellers that would rather have one contract than five tools. Skip if: you're solo or can't commit to about $7,200 a year.

LinkedIn Sales Navigator

What it does: its strength is the LinkedIn graph itself: advanced lead and account search, saved lists, alerts and 50 InMails a month.

Pricing (checked October 21, 2026): Core $119.99/month or $1,079.88/year, Advanced $159.99/month or $1,799.88/year. Advanced Plus (the plan with CRM sync) is quote-only. The trial needs a credit card.

Watch for: Sales Navigator gives you no emails or phone numbers, only InMail and LinkedIn data.

Hunter and Lusha

These aren't AI products first; they're the contact data underneath. Hunter finds and verifies work emails (Free 50 credits a month; Starter $49/month or $34 billed yearly) and includes an AI Assistant, even on the free plan. Lusha adds phone numbers (Free 40 credits a month; Starter $49.90/month), but a phone costs 5 credits, so Starter's 400 credits buy about 80 phones a month.

Cognism sits in the same layer for teams that need strong mobile data, and lists AI company research and AI search on its plans. It's quote-only, with packages starting at 5 seats.

Stage 3: AI for writing and sending

AI writing is now standard in sending tools. The difference between tools is deliverability, volume and how they charge for data.

Instantly

What it does: unlimited email accounts with warmup for cold email at volume, plus SuperSearch, a lead database sold as separate credits.

Pricing (checked October 21, 2026): Outreach Growth $47/month (5,000 emails a month, 1,000 contacts). Lead credits are a separate subscription (Growth credits $47/month), or you can buy a bundle starting at $94/month. 14-day trial, no card.

Watch for: sending and lead data are billed separately, and the pricing page contradicts itself in places (for example, the Hypergrowth email limit is 125,000 on its card and 100,000 in the comparison table). Confirm limits with sales before an annual commitment.

lemlist

What it does: personalised multichannel sequences across email, LinkedIn and calls, with warmup (lemwarm) included on every plan.

Pricing (checked October 21, 2026): Email plan $69/month ($55 yearly), Multichannel $109/user/month ($87 yearly). Contact data is a separate add-on: $20/month for 2,000 credits (400 emails or 100 phones), and buying intent signals are another $29/month for 100 signals.

Best for: small teams doing thoughtful sequences across email and LinkedIn. Skip if: you want data included in the base price.

Smartlead

A volume-sending alternative to Instantly: Base $39/month, Pro $94, Unlimited Smart $174. On Base and Pro, verified prospect emails cost an extra $59/month, and Base has no CRM access.

Stage 4: AI for calls and follow-up

Fathom

What the AI does: records and transcribes calls and writes AI summaries, free. Paid plans add AI action items (Premium), CRM field sync and AI scorecards (Business).

Pricing (checked October 21, 2026): Free forever with unlimited recordings. Premium $20/month ($16 annual), Team $19/user ($15), Business $34/user ($25). Team and Business need at least 2 users.

Best for: almost everyone; the free plan covers what most small teams need.

Gong

What it does: Gong positions itself as revenue AI: call recording, deal intelligence and coaching across a sales team.

Pricing: not public. The pricing page describes a per-user license plus a separate platform fee, quoted through a form. Gong earns its cost when you have enough sellers that coaching across calls matters; a two-person team will get most of the value from Fathom.

Where AI makes prospecting worse

Two uses of AI cost small teams more than they save.

1. Auto-replies and automated DMs in communities. Tools that post on Reddit or X for you look efficient until the account gets banned. Moderators recognise templated replies quickly, and the account at risk is usually yours. Use AI to find the thread and draft a response, then have a person read the whole thread and decide whether to post at all. We've written about this trade-off in Needle vs ReplyGuy, Needle vs ReplyAgent and ReplyAgent alternatives, and the rules to follow are in our Reddit research and outreach compliance checklist.

2. Generic AI personalisation. "I saw you're the Head of Growth at Acme" isn't personalisation; it's a mail merge with extra steps, and recipients can tell. What earns replies is a specific, true reason to write now: something the person said, a tool they're replacing, a problem they described. AI is good at turning that reason into a clean first draft. It can't invent the reason, and when it tries, it makes things up.

The practical rule: let AI do the reading and the first draft; keep a human on the reason and the send button.

Example stacks, with real costs

Prices below are monthly billing, checked October 21, 2026. Annual billing lowers most of them, by anywhere from 6% (Sales Navigator Advanced) to about a third.

Solo founder: about $15/month

Job Tool Cost
Find demand Needle Solo $15
Find a contact when you need one Apollo Free (75 credits/mo) + Hunter Free (50 credits/mo) $0
CRM HubSpot Free CRM (up to 2 users) $0
Call notes Fathom Free $0

Reply in the thread when that's appropriate, email when it isn't, and log everything in the free CRM. This is enough until you're sending more than a few dozen messages a week.

Two-person team: about $264/month

Job Tool Cost
Find demand Needle Growth (3 brands, 11 networks) $49
Contacts + AI writing Apollo Basic × 2 seats $130
Sending Instantly Outreach Growth $47
Call notes Fathom Team × 2 $38
CRM HubSpot Free CRM $0

If Apollo's sequences are enough for your volume, drop Instantly and save $47.

Funded SDR team (5 seats): about $1,913/month plus a Gong quote

Job Tool Cost
Find demand Needle Scale (13 networks, incl. X and LinkedIn) $149
Research Sales Navigator Core × 5 $599.95
Enrichment Clay Growth (starting tier) $495
Contacts + sequences Apollo Professional × 5 $495
Volume sending Smartlead Unlimited Smart $174
Call intelligence Gong Quote only

At this size, the biggest savings usually come from cutting overlap: Apollo and Clay both enrich, and Apollo and Smartlead both send. Pick one owner per job. The layer-by-layer version of these stacks, including budget tiers in rupees, is in our B2B SaaS prospecting stack guide.

How to choose

  • Start from your bottleneck, not the feature list. If you don't know who needs you this week, buy for stage 1. If you know who but can't reach them, buy for stage 2. If you reach them but nobody replies, the problem is usually the reason you're writing, not the tool you send with.
  • Count credits, not plans. Phone numbers cost 5x (Lusha) to 8x (Apollo) an email. Most credits don't roll over.
  • Prefer monthly billing until a tool has paid for itself once. Several plans here are annual-only (Apollo Organization, Amplemarket Startup) or carry required onboarding fees (HubSpot Sales Hub Professional, $1,500).
  • Keep a human on anything posted in public.

Frequently asked questions

What is the best AI tool for sales prospecting?

There's no single best one, because prospecting is several jobs. Apollo is the most common all-in-one starting point for small SaaS teams (contacts, AI writing, sequences and a free plan). Clay is stronger for research and enrichment if someone will own it. Needle covers the step before both: finding people publicly asking for a product like yours.

Are there free AI sales prospecting tools?

Yes. As of October 21, 2026, Apollo, Clay, Hunter and Lusha have free plans with small monthly credit allowances, Fathom's free plan includes unlimited recordings with AI summaries, and HubSpot's CRM is free for up to 2 users. Needle has a 7-day free trial with no card, then plans from $15/month.

Can AI write my cold emails for me?

It can write good first drafts and variations. It can't supply the specific, true reason to contact someone now, which is what earns replies. Give it that reason and edit the result yourself.

Should I use AI tools that reply on Reddit or social media for me?

No. Automated replies and DMs are exactly what moderators and platforms are cracking down on, and you risk a banned account. Use AI to find, rank and draft; have a person post.

How much does an AI prospecting stack cost for a small team?

On monthly billing checked October 21, 2026: about $15/month for a solo founder (free plans plus Needle Solo), about $264/month for a two-person team (Apollo Basic, Instantly Growth, Fathom Team, Needle Growth), and roughly $1,900/month plus a Gong quote for a five-seat SDR team.
